Xero's Newest Features: Smart Document Capture and Auto Bank Reconciliation Explained
Xero just made two moves that matter for anyone still keying in bills by hand or second-guessing their bank reconciliation. Here is what is new, and what it means for you.
Xero does not sit still, and this month it has rolled out two updates worth knowing about: Smart Document Capture is now in beta for Australia, and Auto Bank Reconciliation just got a serious upgrade. Both are aimed at the same thing: getting the repetitive admin off your desk faster, without losing the accuracy your books rely on.
Smart Document Capture Is Now in Beta for Australia
Bills, receipts and invoices read in about 30 seconds
Smart Document Capture is Xero's native tool for reading bills, receipts and invoices the moment they land in your Files inbox. Previously, getting a document ready to review could take up to 24 hours. Now it is ready in around 30 seconds, pulled straight from the document and waiting for your review.
It has been available in most markets for a while, and it is now rolling out in beta specifically for Australia and New Zealand. Beta means Xero is using this local rollout to fine-tune extraction accuracy, transaction matching and local tax handling before it becomes standard.
What It Actually Does
- Multiple ways in. Documents can arrive via the Xero Accounting app, forwarded email, or a direct upload to the Files inbox.
- Accurate extraction from the first read. It reads the whole document rather than just scanning it, and gets sharper over time.
- Line-by-line detail. Handles itemised receipts and rental statements automatically, not just the total.
- Duplicate detection. Matches against existing transactions so the same bill does not end up in your books twice.
Tax field extraction for GST is on Xero's roadmap but is not live yet, so for now, that is still a check worth doing yourself. You can read Xero's full rundown here: Faster record-keeping with smart document capture.
Auto Bank Reconciliation Just Got Better Too
Xero's Auto Bank Reconciliation, powered by its AI tool JAX, has already reconciled more than 100 million transactions. The update focuses on making the review step faster and clearer, not just the automation itself.
- In-row editing. You can now fix an account code or tax rate directly from the Reconciled page, without unwinding the whole reconciliation.
- See the reasoning. Every transaction shows whether it was matched, ruled, remembered, predicted, or reconciled manually.
- Attachments in one place. View and manage supporting documents alongside the transaction, without switching screens.
Importantly, it still only auto-reconciles when it is confident. Anything uncertain gets left for manual review rather than guessed at. Full detail is on Xero's blog: What's new in Auto Bank Reconciliation.
What This Means for You
Less time keying in receipts. Fewer follow-up emails chasing missing documents. Faster, clearer bank reconciliation you can actually trust. That is the direction Xero is building in, and it lines up exactly with how we already run your books.
As with any beta feature, we are keeping a close eye on it before it touches your file. If it is ready for your business, we will bring it in. If it is not there yet, we will wait until it is.
